Letter 1:

Dr. Norman C. Francis

Dear Dr. Norman C. Francis:

My name is Julie Tran and I am a student of Xavier University of Louisiana. I am writing to you today to address the need for a better education for the children of our community, our future. With your help, I believe we can make a difference, even if it seems minute at the moment.
I came upon this crusade for a better education through my theology class’s service learning goals. Each student is required to choose a problem, in which we believed plagued the world today, and come up with a solution that can help solve the problem and make the world a better place. It took me a while to decide amongst apathy, obesity and education, but when it came down to it, education was the one that plagued the world the most, if not more in this country where resources seems to be plentiful. I believe a better education can also remedy obesity and apathy if we start early and teach younger children how to live a better lifestyle and that they should care about the welfare of others and themselves.
I am well aware that change to any system takes a lot of time, hard work, and planning. My solution to begin an education reform is to set up organizations around the country where high school and college students are mentors to elementary and junior high students. I envision this to be very similar to the already renowned organization, Big Brothers Big Sisters. I feel that mentors that can eventually become friends to the mentored and thus gain a better chance with reaching out to younger children than teachers or parents.
I am planning to begin an organization to mentor younger students at Xavier University of Louisiana and hope that other schools, if they have not done so, will follow in my footsteps and organize organizations like that of Big Brothers Big Sisters in their communities and mine. To begin my project though, I will need your help in obtaining funding from the school to help start off my project. Like other approved organizations headed under the school, I know that fundings are made available to those organizations in order to help facilitate their needs. The money would be used for things such as flyers to promote the organization and reminders for current members, activities in which all those in the organization including members and those they mentor can participate in and have a chance to get to know one another, school supplies that a mentor may feel a child needs in order to better learn what they need help in such as notebooks or textbooks, and much more.
I would like to thank you for taking time out of your busy schedule to read this letter. I hope to hear from you soon.

The only difference is the fourth paragraph (which is in green) because that is where the letter begins to address why I am especially writing to them and what I need from them. Therefore I will not repeat the first three paragraphs again but only post the latter part of the letters, which are different.

Letter 2:

Xavier University’s Student Government Association
(no address available, I will be placing the letter into their mailbox in their office)

I am planning to begin an organization to mentor younger students at Xavier University of Louisiana and hope that other schools, if they have not done so, will follow in my footsteps and organize organizations like that of Big Brothers Big Sisters in their communities and mine. To begin my project though, I will need your help in obtaining information on what I should do to begin my organization as something that will be a part of the Xavier community. What steps will I need to take and when should I take them? Who should I speak with who can help me with this project? These and so many more questions are on my list of things to find out. If it is possible, can I set up a time where I can speak to one of your representatives in order to get some of my many questions answered? This will be of great help to me. Thank you for your time.

Letter 3:

Xavier Faculty
(this will be emailed to faculty members, when I am able to figure out how to do so through the email system since I know there is a way to email all students through students@xula.edu, there must be a way to do it for faculty members)

I am planning to begin an organization to mentor younger students at Xavier University of Louisiana and hope that other schools, if they have not done so, will follow in my footsteps and organize organizations like that of Big Brothers Big Sisters in their communities and mine. To begin my project though, I will need your help in sponsoring my organization. I know that all organizations on Xavier campus must have a faculty to sponsor their group and I do not know whom to ask and who would be interested in this project so I am asking Xavier’s entire faculty to consider this. I just need one faculty member to sponsor my project. It would mean a great deal to me. Thank you for taking the time out of your busy schedules to read and consider this letter.

To begin my project though, I will need your help in guiding me on the steps I will need to take in order to create a mentoring organization like Big Brothers Big Sisters. If you don’t mind, can you send me pamphlets with more information about your organization? It will be of great help. Thank you for taking time out of your busy schedule to read this letter.
